Uploading and Sharing Documents

Nutri-Q has a file sharing feature that lets practitioners and clients privately share documents with one another.   This file sharing works in both directions:

  • Practitioner to client: The practitioner can upload a document directly to a client's profile and share it with them.  The client can then view that document from the Documents page on their Nutri-Q dashboard.
  • Client to practitioner: Clients can upload a file to the Documents page on their dashboard. Their practitioner can then view the document by looking at the Documents tab on that client's profile.

This is different from the Paper Work > My Docs page, which allows you to upload a file and create a public URL that links to the document.  Documents uploaded to the My Docs page can be viewed by anyone with the link, whereas documents uploaded directly to a client's profile are visible only to that client.

How to Share Documents with Your Client

You can upload three different types of documents directly to a client's profile.  Once you have uploaded a document, you have an option to share it with them so they can view it from their dashboard.  These are the supported file types:

  • Image files including .jpg and .png
  • PDF Files
  • Word Documents including .docx and .doc
  • Excel files including .xls, .xlxs

Uploading a Document

  1. Go to My Clients and open the client profile you want to share a document with.
  2. On their Client Details page, click the Documents tab. A panel appears where you can both upload documents to share with your client, and view documents that client has uploaded.

  3. Click the Add a New Document button.

  4. In the Files to Upload dialog, give your document a unique file name, then click anywhere in the center of the dialog to choose a file.  Files cannot be larger than 5MB.

  5. After you select a file, a document preview appears.  Click the Upload Docs button to finish uploading your file.

Sharing the Document with Your Client

Documents you upload to a client's profile are not visible to the client by default.  If you want your client to view the document, you must switch the Visible To Client option to Yes.

When you switch this setting to Yes, your client will receive an email notification that you have shared a document with them, and a link prompting them to log in and view the file. They can use the following steps to view the document:

  1. From their client dashboard, click the Documents link in the left-sidebar. 
  2. Click the Options menu next to the document and select View Document.

Receive Notification When Client Views Document

By default, you will receive an email notification when your client views the file for the first time, and the Client Viewed On column will display a date.

If you do not wish to receive notifications when your client views a document, you can switch this setting to no:

How to Upload Documents as a Client

Clients can also upload files they wish to share with their practitioner.  The same document types and file size restrictions that apply to practitioners also apply to clients.  To upload a document as a client, use the following steps:

  1. Log into your Nutri-Q client dashboard and click Documents in the sidebar.

  2. On the Documents page click Add a New Document.

  3. In the Files to Upload dialog, enter a Document Name, then click in the middle of the dialog to choose file to upload.  Once you see a file Type/Size or document preview, click Upload Docs to complete the upload.

  4. The document now appears in the Documents Uploaded By You section. documents-added-by-you.png
  5. Your Practitioner is notified that you have uploaded a file for them to view.

Practitioners can view documents uploaded by their clients by going to the Client Details page, and clicking the Documents tab.  Documents uploaded by that client are found in the section shown below:

Document Notes

You can attach notes to a specific document by clicking the edit button in the Notes column.  Document Notes are private, and are not shown to the client, even when the file is shared with them.

You can add multiple notes to the same document. Only one note is displayed in the Notes column at a time, however the full list of notes are shown in the edit window:

When Pin Note is set to Yes, that note is always displayed in the Notes column until it is unpinned.

Document Notifications

Three types of email notifications are delivered to clients and practitioners.

  • New Document Notification - Sent to the client when their practitioner switches the "Visible to Client" setting to Yes.
  • New Document Notification - Sent to the practitioner when their client uploads a new document.
  • Document Read Notification - Sent to the practitioner when their client views a shared document for the first time.  Practitioners can opt-out of this notification by switching "Receive notification when client views documents" to No.

Document Storage Limits

  • File Size - Individual documents cannot exceed 5 megabytes per file.
  • Total storage space - Every practitioner has a file storage limit of 250 megabytes.  You can upload as many documents as you want, but the total space on disk cannot exceed 250 MB. This gives you space for up to 50 documents using the maximum file size, however as most documents will be considerably smaller than 5MB you will most likely be able to upload a good deal more. 

Total Storage Space and Utilized Storage Space are both displayed on your Account Information page:

We are considering ways to increase the file storage allocation for practitioners and will update this section if/when this goes into effect.
